MigrationWiz Licenses & Licensing

BitTitan offers several license types for migrations. In this article, you will find answers to common questions about licensing and guidance to choose the correct license for your migration. You can configure your migration project at any time and purchase licenses whenever you want to run your migration. Each license type creates a new invoice for simple tracking and billing on each migration project.

Purchasing Licenses

Licenses are required to run migration projects in MigrationWiz. To obtain license pricing information or purchase licenses, click the Purchase button at the top of your MSPComplete or MigrationWiz dashboard.

To purchase licenses

  1. Sign in to your BitTitan account. 
  2. In the top navigation bar, click Purchase.
  3. Click the Select button and choose the license type you need.
  4. Enter the number of licenses you want to purchase. Click Buy Now.
  5. Enter a Billing address if applicable.
  6. Click Next.
  7. Review the Order Summary and enter a payment method.
  8. Click Place Your Order.

​​Licenses are released once payment has been received:

  • Licenses will be available immediately upon payment if you purchase via credit card.
  • If you purchase via wire transfer (100+ licenses), licenses will be available once payment has been received and accepted.
  • We do not accept purchase orders, because of processing overhead.

In both cases, you will be notified by email that payment has been accepted and licenses will be available in your account upon notification.

Typical Purchase Processing Times

  • Via credit card - 
  • Via wire transfer - within 24 hours.
  • Via ACH transfer (US Only) - within 3-4 business days.

Your order may not be processed immediately when you call your bank to request a transfer. Most banks queue up requests and process them once a day.

If you have not received your licenses, we recommend calling your financial institution and asking them if the electronic payment has been processed.

Payment

Credit cards and, in certain situations, wire transfers are accepted.  

When purchasing with a credit card, payment is immediately processed during checkout. Licenses are granted to your account instantly.

Wire transfers are available for purchases of 100 or more licenses. If you are purchasing at least 100 licenses, you will have the option to purchase with a wire transfer during checkout. A wire transfer checkout will generate an invoice with wiring information for your accounts payable department and bank. Once our system receives the funds, the licenses are granted to your account immediately. 

Redeem a Coupon

  1. Log into MigrationWiz.
  2. Ensure you are in the correct Workgroup.
  3. At the top right, click on the account name.
  4. Select Redeem Coupon.
  5. Enter the coupon code.
  6. Select Apply.
  7. The coupon has now been redeemed.

Viewing Licenses

  1. At the top right click on the account name.
  2. Select Licenses.

License Consumption

Licenses with the soonest expiration date will be selected first when submitting a migration. This applies to license types that are consumed at the start of a migration, such as Mailbox Licenses and Public Folder Licenses.

All MigrationWiz licenses expire twelve months after their purchase date.

License Types

Remember that licenses are based on the source item type when determining which license is required. MigrationWiz will consume different types of licenses based on the source item type. See the descriptions of each license type below.

Mailbox Licenses vs. User Migration Bundle Licenses

The User Migration Bundle license is the most commonly used MigrationWiz license. Each license must be applied to a single specific user and covers mailboxes, archives, and documents. Additionally, User Migration Bundles allow the users to configure their Outlook profiles using DeploymentPro.

Mailbox licenses are used for mailbox-only migrations, and are generally only applied to mailbox-only migrations These licenses are not directly applied to users and are automatically consumed by MigrationWiz.

User Migration Bundle License

UMB licenses provide unlimited data for a single individual user account. 

This license type must be applied to a single user and will migrate their accounts and data. The license will be consumed at the rate of one license per user being migrated and cannot be applied to multiple users. 

This license migrates:

  • Mailboxes
  • Documents
  • Personal archives

Additional functionalities:

  • Supports configuring Outlook profiles after migration
  • Supports Microsoft 365 Tenant to Tenant Coexistence

Mailbox Migration License

Mailbox Migration licenses are for migrating individual mailboxes; each license will migrate up to 50GB. 

This license migrates:

  • Emails
  • Contacts
  • Calendars
  • Journals
  • Notes
  • Tasks
  • Rules (where applicable)

This license does not support the use of downloaded BitTitan software such as DeploymentPro. 

Public Folder License

The Public Folder license is for use only in Exchange/Exchange Online public folder migrations. Each license will migrate up to 10GB of data per single Exchange source environment.

This license migrates:

  • Emails
  • Contacts
  • Calendars
  • Tasks

This license does not support the use of downloaded BitTitan software such as DeploymentPro. 

Collaboration (per Team) Migration License

The Collaboration (per Team) Migration license is used only for Microsoft Teams migrations and will migrate up to 100GB. This license type will apply automatically if the correct number of licenses exists in your account. 

If more than 100GB of data per team is being migrated, purchase enough licenses to cover the total amount of data being migrated. For example, if you have six teams and two of them have 200GB of data, you will need to purchase 8 licenses. 

This license migrates:

  • Teams
  • Channels
  • Conversations
  • Files
  • Permissions

This license does not support the use of downloaded BitTitan software such as DeploymentPro. 

MigrationWiz: Hybrid License

The MigrationWiz: Hybrid license is required for migrating in Hybrid Exchange environments which involve a mix of on-premise Exchange Servers and Exchange Online services, such as in Microsoft 365. Due to the nature of the migration type, data limits are based on the applicable Microsoft 365 license purchased by the customer. 

This license type includes the option to use one or more downloaded software agents to assist in completing your migration projects. If you choose not to use a downloaded agent, you cannot make use of the following features of this License: Automated Smart Batching. Furthermore, should you choose to forgo the software agent, the system will require an import via a CSV file for the migration mailbox configuration information. Customer acknowledges and agrees that BitTitan will not be liable for any damage to Customer’s System resulting from the use of any software agents related to this License Type.

Shared Document License

The Shared Document license applies to any document migration projects involving SharePoint or Google Shared Drives. This license type migrates up to 50GB, or 100GB of data depending on the license size purchased. 

This license migrates:

  • Documents

  • Folders

  • Permissions

  • Versions

This license does not support the use of downloaded BitTitan software such as DeploymentPro.

G Suite Mailbox and Documents License

The G Suite Mailbox and Documents license is a license bundle (1 Google mailbox license and 1 Google document license) applicable only to migrations with G Suite (both Gmail and Google Drive) as the destination. The license will migrate up to 30GB per mailbox license, and 30GB per documents license. 

This license migrates:

  • Email
  • Contacts
  • Calendars
  • Documents

Tenant Migration Bundle

The Tenant Migration Bundle is a bundled license specifically for a Microsoft 365 Tenant-to-Tenant migration. Each bundle includes:

  • One User Migration Bundle (UMB) license
  • One Flex Collaboration License (FCL) for Teams or SharePoint content.

Important

Each UMB license migrates an unlimited amount of mailbox and OneDrive data for a single user. The FCL is licensed on a per-team or per-library basis, and each license can migrate up to 100GB of Teams or SharePoint data. 

This license bundle is intended to be used for moving or consolidating Microsoft 365 tenants, as it will migrate most Microsoft 365 workloads. This includes Microsoft Teams to Teams or Microsoft SharePoint Online to SharePoint Online migrations.

This license is sold directly through our Sales teams, as well as through our global distribution partners. Please contact them for pricing and deployment.

License Requirements

User Migration Bundle: 1 license per user

Flex Collaboration License: 1 license per team or per document library. If there are not enough Flex Collaboration licenses across the purchased bundles, additional Collaboration or Shared Document licenses will be needed. Collaboration and Shared Document licenses may be purchased through the BitTitan storefront.

This license can migrate content from:

  • Groups
  • Exchange
  • OneDrive for Business
  • SharePoint Online
  • Teams

Important

Each FCL may be used for SharePoint or Teams data.

This license does not migrate:

  • Public folders

Using Licenses

As you perform a migration in MigrationWiz, the platforms validate the functions against the subscriptions or licenses you have purchased. If you need to acquire additional subscriptions or licenses, the platforms tell you exactly what you need to obtain and guide you through the process of purchasing the items.

We never consume any license unless a migration is successful. If a specific mailbox cannot migrate successfully, no license is consumed. A license may be temporarily consumed while a migration is in progress, but the license is automatically restored if the migration fails or is stopped.

Licenses are not locked to a specific project- they are tied to specific types of migrations. This means that licenses are available for any project of that migration type.

Whenever you start a migration, we clearly indicate whether a license will be used or not. We also keep track of all license usage in a security log. Contact Support with questions and we will review or send you license usage log information.

In the case of a successful migration with errors, you can perform “retry error” migration pass free of charge, regardless of whether you used a trial migration or a mailbox license to migrate. This type of migration only attempts to repair migration errors, and cannot be used to migrate items received after the initial migration.

In the case of Full migrations (also known as Delta), if you used a mailbox migration license for the Pre-Stage migration, you can perform Delta migrations at no additional charge. Up to 10 successful migration passes and up to 50GB are allowed if you are performing a mailbox migration project.

Deleting a line item after a successful migration pass and recreating a new line item with the same details (e.g., same email address) will still consume additional licenses even if it is done on the same project.

To keep the same license between different projects, you have to move the line items instead of recreating them.

Administrators and managers must manually apply User Migration Bundle licenses to the customer's users before mailbox, document, and personal archive migrations can be performed for those users.

Other license types (Mailbox Migration and Public Folder Migration licenses) apply automatically. The system will automatically add them as needed once the migration process is started. 

Applying Licenses

Important

When UMB, Tenant Migration Bundle, or Mailbox licenses are applied to a migration, they are immediately consumed for that migration line item or user and cannot be modified or reused. 

Applying User Migration Bundle licenses in MSPComplete

  1. Sign in to MSPComplete at https://manage.bittitan.com.
    • When you sign in, make sure to select the MSPComplete button above the email field.
  2. Select the correct workgroup on the top of the left navigation pane. This is the workgroup that the customer and migration project were created under. Your account must be part of the workgroup if the project was not created under your account.
  3. On the left navigation pane, click Customers.
  4. Click the customer that employs the user to whom you want to use a User Migration Bundle license.
  5. Click the Users tab at the top of the page.
  6. Check the box to the left of the email for the user(s) to whom you want to use a license.
  7. Click the Apply User Migration Bundle License button at the top of the page. It is recommended that users be added to the Customer page with the vanity domain. Then have the User Migration Bundle Licenses applied, before editing to show the .onmicrosoft domain, if the .onmicrosoft domain will be used for the migration.
  8. If there is at least one unassigned User Migration Bundle license available for each selected user, click Confirm.

    Important

    If there are no User Migration Bundle licenses currently available to be assigned and your role in the workgroup is Manager or higher, the form that appears provides all the necessary information and will walk you through the steps of purchasing User Migration Bundle licenses.

Remove User Migration Bundle Licenses Previously Applied 

  1. Sign in to MSPComplete at https://manage.bittitan.com.
    • Select the MSPComplete button above the email field when you sign in.
  2. Select the correct workgroup on the top left navigation pane. This is the workgroup the customer and migration project were created under. Your account must be part of the workgroup if the project was not created under your account.
  3. On the left navigation pane, click Customers.
  4. Click the Customer that employs the user from whom you want to remove the User Migration Bundle license.
  5. Click the Users tab at the top of the page.
  6. For each user that needs to have the User Migration Bundle License removed, click the ellipsis on the far right.
  7. Click Remove Bundle from the drop-down menu.

    Important

    The User Migration Bundle License can only be removed if no migration actions have been performed and the license was applied to the user within 24 hours of the removal attempt. If a Verify Credentials or a Trial migration has been run on a user who is not supposed to be included in the project, contact Support. Licenses will not be removed if data has been migrated in a Pre-Stage or Full migration pass.
    Do not delete the user from the MigrationWiz project if reaching out to support for assistance in having UMB licenses removed. They will need to validate that no data has been migrated.

Apply a User Migration Bundle License in MigrationWiz

  1. Sign in to MigrationWiz at https://migrationwiz.bittitan.com.
    • You can either sign in and make sure to select the MigrationWiz button above the email field or sign in to the MSPComplete page, then click the All Products button and select MigrationWiz.
  2. Select the correct workgroup on the top of the left navigation pane. This is the workgroup that the customer and migration project were created under. Your account must be part of the workgroup and project sharing must be enabled, if the project was not created under your account. 
  3. Click the project that requires licenses to be applied.
  4. Check the box to the left of the email for the user(s) to whom you want to use a User Migration Bundle license.
  5. Click the More menu (3 stacked lines) at the top of the project page.
  6. Click Apply User Migration Bundle License.

Remove User Migration Bundle Licenses Previously Applied 

To remove a User Migration Bundle License previously applied, for example, if you want to remove a user who will not be migrated, follow the steps below:

  1. Sign in to MigrationWiz at https://migrationwiz.bittitan.com.
    • You can either sign in and make sure to select the MigrationWiz button above the email field or sign in to the MSPComplete page. click the All Products button and select MigrationWiz.
  2. Select the correct workgroup on the top of the left navigation pane. This is the workgroup that the customer and migration project were created under. Your account must be part of the workgroup and project sharing must be enabled, if the project was not created under your account. 
  3. Click the project that requires licenses to be removed.
  4. Check the box to the left of the email for the user(s) from whom you want to remove the User Migration Bundle license.
  5. Click the More menu (3 stacked lines) at the top of the project page.
  6. Click Remove licenses.

    Important

    The User Migration Bundle License can only be removed if no migration actions have been performed and the license was applied to the user within 24 hours of the removal attempt. If a Verify Credentials or a Trial migration has been run on a user who is not supposed to be included in the project, please contact Support. Licenses will not be removed if data has been migrated in a Pre-Stage or Full migration pass.

For both application options, allow time for the license to process through the system before trying to perform migrations for the newly licensed user accounts. License processing can take up to several minutes.

Frequently Asked Questions About Licensing

How do I extend my license life?

By default, after six (6) months of inactivity, a project is deleted and the licenses are considered consumed if there was a successful Pre-Stage or Full Migration. To change this default period of inactivity:

To change the auto-delete period of the project:

  1. Sign in to the MigrationWiz account.
  2. Click the Projects​ tab if you do not see the Project dashboard.
  3. Click on the name of the Project in the list. 
  4. Click Edit Project​.​
  5. Click Edit Advanced Options.
  6. Under the Maintenance section, change the value for Number of days after which this project will be auto-deleted if unused.
  7. Click Save Options.

Can I change license categories?

License categories may be chosen before the migration has begun. Once the migration has begun, the license will be consumed and may not be changed.

Will deleting a project return used licenses to my account?

​​No. If you delete migrations that have completed a Pre-Stage pass or a Full pass, the associated licenses will also be deleted. This cannot be undone and will require that you recreate the migrations and use additional licenses to run them again.

The User Migration Bundle license is an exception to the above rule, as it is applied directly to the user being migrated and is independent of MigrationWiz. Therefore, if the project is deleted, the license remains assigned to the user and is not lost. Before deleting any projects due to issues, contact BitTitan Support for help.

My previous migration failed and I want to resubmit

The tool does not consume licenses for failed migrations. If a migration fails (or is stopped), any used licenses are automatically restored to your account. When you resubmit for migration again, we debit the license that was just restored. 

My previous migration succeeded and I want to resubmit​​

When using a mailbox migration license, no new license will be debited when you resubmit. This is because mailbox migration licenses allow up to 10 successful passes per mailbox.

How do I perform a migration with two different types of licenses?​

​​​If you are using a User Migration Bundle license for some users and a MigrationWiz-Mailbox license for others (within a single mailbox migration project), then you can run a migration with both types of licenses.  When starting a migration, you will get a summary showing how many users will be migrating using each type.  Any user that does not have a UMB assigned will use one of the mailbox licenses in this scenario.

If you are running something like a SharePoint migration, where there are two different licenses that can be used (there is one for 50GB and one for 100GB) then you can still use both within the same project but must select only one each time you are starting migrations.  This means that you would need to select the ones using one license and start those and then select the others and start them separately

You can see which types of licenses you have by clicking on the Account button in the top right corner and selecting Licenses.  Please also note that after a license has been consumed by a line item, a follow-up migration pass may show as using 0 licenses as long as the original still has data left on its limit.  Line items using the UMB license will always show as using that UMB to migrate.

If you purchased the User Migration Bundle license, then you can perform multiple migrations of various types. For example, you can perform a mailbox migration, and then later perform a document migration without having to purchase additional licenses.

How many mailboxes can I migrate with a single license?

A single license gives you the ability to migrate a single mailbox to a single Destination. A mailbox license may grant you 50GB of data transferred, and up to 10 passes per mailbox.

Here are some examples to help explain how mailbox licenses work:

  • You cannot migrate ten 5GB mailboxes using a single license. 
  • You cannot use each pass to migrate a different mailbox.
  • Each pass must be performed against the same mailbox.
  • When the license limit is reached, the migration will stop. To continue, you must purchase additional licenses. Then you can resubmit the item for migration. The migration will begin where it left off.

Multiple Licenses for a Single Item

When you perform migrations, each license has a size limitation. Each line item in your MigrationWiz dashboard requires a separate license.

  • If the Destination is Microsoft OneDrive for Business, licenses will be consumed on a per-user basis. 

Once the transfer limit has been reached, another license will be required.

By default, MigrationWiz will only consume a single license per item (mailbox, archive, etc.). This means that when you reach the transfer limit, the migration will stop, and you will have to resubmit your migration with an additional license.

Complete these steps to allow items in a project to consume more than one license:

  1. Sign in to MigrationWiz.
  2. Open your project.
  3. Click Edit Project, and then select Advanced Options.
  4. Click Licensing and then enter the maximum number of licenses consumed per line item.
  5. Click Save.

Items in the migration project now have permission to consume more than a single license. Ensure that you've purchased a pool of licenses to account for a potential overrun.

This number is applied per item in a single project. This means that if you submit two items for migration, both of the submitted items will be allowed to automatically use the additional license.

If you increase the licensing count number to, for example, 2, and you submit a mailbox migration that is less than 50GB, you will only consume one (1) license, regardless of the fact that the licensing count has been set higher.

You are allowed up to ten (10) passes per item, for all license types listed above. For example, if you perform a mailbox migration for a user who has a mailbox with a total size of 32GB, even if you submit a Pre-Stage Migration, followed by two (2) Delta passes, this will only consume one (1) mailbox migration license. It is only when a mailbox is larger than 50GB and you set the licensing count to 2 that it will consume two (2) licenses, once your migration reaches 50GB in migrated data.

Common scenarios for this are

  • When performing a PST migration, where users have multiple small PST files that are being ingested into the same destination mailbox.
  • When performing a mailbox migration, and multiple Source mailboxes are being ingested into the same Destination mailbox. If the same items exist in each Source mailbox, this will result in duplicate items appearing in the Destination mailbox.
