MigrationWiz - Reports

Note

  • Reports are no longer sent by email. Instead, you request them in MigrationWiz and download them from the Reports page before they expire. Please ensure to review the whole article, to understand the expected behavior of requesting reports in MigrationWiz.
  • Reports for Teams Private Chat and Active Directory migration tool are not available at this time. We are working on extending support for reports for these project types soon.

MigrationWiz lets you generate self-service reports about your migration projects and workgroups. Use them to check migration results, investigate item errors, and review who made changes and when.

This article explains which reports are available, how to request and download them, how long they're kept, and what to do if one fails. Common questions are answered in the FAQs at the end of the article.

Types of Reports/Metrics

There are three self-service reports. Each one is requested either from a project or from a workgroup, depending on what it covers:

Report What Shows Requested From
Project Statistics Migration results for every item in a project, such as each mailbox, user or library, with what was migrated, plus any item errors and the folders processed. A project.
Project Action Log The actions taken on a project: who did what, and when. A project.
Workgroup Action Log The actions taken across a whole workgroup. A workgroup.

Note

Each report is a snapshot of the current data available of the workgroup or the project. Requesting a specific date for your report is not supported.

How to Request a Report

Reports are not generated automatically. You request each one when you need it, and MigrationWiz builds it in the background. The steps depend on whether the report comes from a project or a workgroup.

Project Statistics or Project Action Log

Use these steps to request a report for a single project:

  1. Go to your Projects list.
  2. On the project's row, click the Request Project Statistics (chart icon) or the Request Project Action Logs (log icon).
Inside a project, you can also use the Request Report menu.
  3. A confirmation explains that you can download the report from the Reports page when it's ready.
  4. Click on Confirm or you can also click on the Reports link (highlighted in blue) which will open the Reports page in a new tab.
Project Statistics or Project Action Log Screenshot.png
  5. A message confirms that generation has started. You can leave the page. The report keeps generating and appears on your Reports page when it's ready.

Workgroup Action Log

Use these steps to request a log of activity across all projects in a workgroup:

  1. Go to your Workgroups list on the dashboard.
  2. On the workgroup's row, click the Request Workgroup Action Logs icon.
  3. Click Confirm. The report appears on the Reports page for that workgroup when it's ready.

Tip

Each request creates a new report, so there's no need to click twice. A new request is useful when you want more recent data.

How to Find your Reports

From the All Projects Page

  1. Go to the All Projects page.
  2. Click on one of the Report buttons.

Part of the page What it does
Report list One row per report: Report Type, Project, Created (your local time), Status and Actions. Child reports (PDFs, or files with selected items) are listed under their source report.
Search Type part of a project name to show only that project's reports.
Filter Show only certain report types, statuses or favorites.
Favorites Give a report a color tag with the selector at the start of its row, then filter by that color.
Sort Change the order of the list.
Refresh While a report is being generated or prepared, use the Refresh button to reload the list for the most recent status.

Note

You can request and download reports for workgroups you are an active member of and for which projects sharing is enabled. If project sharing is turned off for your workgroup, you will not be able to generate or download reports for that workgroup.

Report status

Each source report and child report shows a status on the Reports page. The status tells you whether the file is ready and which actions are available.

Status Meaning What you can do
Generating MigrationWiz is creating the report. This usually takes a few minutes for small to medium projects, and longer for large projects. Wait, or Cancel.
Ready The report can be downloaded. Download, Delete.
Preparing A child report (PDF or a CSV file with filtered items) is being prepared. Wait, or Cancel.
Failed Something went wrong. See If a report fails. Try again, Delete.
Canceled The report was canceled before it finished. Delete. Request a new report if you still need it.
Downloaded/Removed A generated report was downloaded and then removed from our servers. Generate again, Delete.
Purged/Removed A generated report was removed because it wasn't downloaded in time, or because the report was purged due to the retention period time limit. All child reports of a purged report show this. Delete. Generate a new file from the report while it is Ready or request a new report.
Purged The report reached the end of its retention period time limit and was removed automatically. Delete. Request a new report if you need it.

Download a Report

When a report shows Ready, you can download it as a CSV or a PDF. For Project Statistics in PDF format, you can also choose which columns/fields to include.

  1. On a Ready report, click Download. The Download report window opens.
  2. Choose the Format:
    • CSV: a spreadsheet file with every column. Best for working with the data in Excel.
      CSV report.png
    • PDF: a formatted document for sharing or printing. You choose which sections and columns to include.

      PDF report v3.png

  3. For Project Statistics you can also choose:
    • Report Sections (PDF only): Project Statistics, Item Errors and Item Folders. Each section you choose becomes its own PDF. Choose at least one: with none ticked, the dialog says "Select at least one report section." and Generate stays disabled.
    • Columns to include in the PDF: columns are grouped, for example Identification, Source, Destination, Summary, and one group for each type of item migrated (such as Mails or Contacts). Use the search box, Default to return to the recommended columns for your project type (selected when the window opens), or Clear to start again. You can include up to 10 columns/field in a PDF. You will not be able to generate the child report if you select more than 10 items from the table. Tables with more than 5 columns are printed in landscape. The report in CSV format will always contain all available columns/data fields.
       +10 columns PDF report.png
    • Items:
      • All items in the project, is the default setting. Example: Include all mailboxes from your project in your report.
      • Only include the items in the list. Example: Include only specific mailboxes from your project in your report.
  4. The window tells you what happens next:
    • "Ready to download now." For a CSV with all items. Click Download and save the file. The report stays on the page and you can download it again.
    • "This file needs to be generated first." For a child report in PDF format, or when you select Only include the items in the list. Click Generate.

      Note

Child reports are created from the source report. Keep in mind that larger child reports may take more time to generate before you are able to download the child report.

Saving the File

Your browser decides where the file is saved. Depending on your browser settings, it may ask where to save or save straight to your Downloads folder. Every download is a ZIP file:

Report File Name Inside the ZIP
Project Statistics Project name.zip ProjectStats, ItemErrors and ItemFolders (CSV), or the PDF sections you choose.
Project Action Log Project name-Project Action Logs.zip Project Action Logs (CSV or PDF).
Workgroup Action Log Workgroup name-Workgroup Action Logs.zip Workgroup Action Logs (CSV or PDF).

Note

Characters that can't be used in file names are replaced with an underscore (_).

Selecting items (Project Statistics)

By default, Project Statistics include every item in the project. To get statistics for only some items, for example the mailboxes in one migration batch, follow these steps:

  1. Under Items, choose Only include the items in the list.
  2. Enter one item per line. The text under the box tells you what to enter for your project, for example a mailbox address, a Teams mail nickname or a document library path. The grey examples in the box show the format.
  3. Click Generate. The button stays unavailable until you've entered at least one item.
    • Use the name described in the text under the box. Depending on your project, this is the item's source name, its destination name, or either.
    • Upper and lower case don't matter, but otherwise each line must match exactly.
    • Lines that don't match any item are skipped.

Tip

The easiest way to get the right values is to download the parent Project Statistics CSV report with all items first, then copy the names from the source/destination columns.

Child report downloads (PDF and selected items)

A CSV with all items from the project can be downloaded straight away. A PDF or a CSV file with specific selected items, has to be regenerated first. Here's what happens after you click Generate:

  1. After you click Generate, the window closes and a new line appears under the source report, showing the format and items, for example "PDF · all items" or "CSV · 25 items". Its status is Preparing.
  2. This usually takes a few minutes, and longer for large projects. You can close the page and come back later.
  3. When the status shows Ready, click Download on that line and save the file. The line also says how long the file is kept, for example "Removed 24 hours after preparation".
  4. After you download it, the file is removed from our servers and the line shows Downloaded/removed. If you need it again, click Generate again.
Generated Downloads v2.png

Note

Download child reports within 24 hours. A child report (PDF or filtered items) that is not downloaded is removed automatically after 24 hours, or earlier if its Source report expires first.

How long reports are kept

Source reports and child reports are stored for a limited time and then removed automatically. Plan to download anything you need before it expires.

Item Kept for
Source report (the original CSV data) 14 days after it is generated. It is then removed automatically and shows Purged. A purged report disappears from the Reports page 30 days later. You also have the option to delete the purged report message manually if you wish to keep a cleaner Reports page list.
Child report (PDF or selected items) 24 hours after it is ready, or until you download it, whichever comes first.

The Reports page shows this reminder: "Source reports are purged automatically 14 days after they are generated. Child reports (PDF, or a filtered file) are removed 24 hours after they are generated, or as soon as they are downloaded."

These are the standard periods. The notice at the top of the Reports page always shows the periods that currently apply.

Save any report you need to keep. Removed reports can't be recovered, but you can always request a new one.

Cancel or delete reports

You can stop a report that's still in progress, or delete reports you no longer need to keep your Reports page tidy.

Cancel

While a report shows Generating, or a download shows Preparing, click Cancel. A confirmation opens: click Stop generating (or Stop preparing for a download) or Keep generating (Keep preparing) to go back. The status changes to Canceled. A canceled report can only be deleted; request a new one if you still need it.

Deleted

To delete... Do this
One report Click Delete on its row. The confirmation shows the report type and project, and how many child reports go with it. Click Delete report. Any child report under it is deleted too.
Several reports Tick the boxes at the start of the rows, click Delete Selected, check the number of reports and files in the confirmation, then click Delete.
All reports Click Delete All, then Delete all reports. This deletes every report in this workgroup, including reports other members of the workgroup requested.
Only the reports you're looking at Search or filter first, then click Delete All. The confirmation reads "Delete all filtered reports?" and says how many reports and files will be deleted. Only the reports shown are deleted.
One child report Click Delete on its line, then Delete file. The report above it isn't affected.

Note

Deleting is permanent. Deleted reports are removed immediately and can't be recovered.

Important

If using the filtering option and performing and Delete All option, you will only delete the reports that are shown on your screen.

Delete filtered reports.png
This means you may have to perform a Delete All more than once, if you are filtering for specific reports.

If a report fails

Occasionally a source report or child report can't be completed. Most failures are resolved by trying again. Follow the below steps to resolve this issue:

  1. If a source report or child report shows Failed, click Try again.
  2. If it fails a second time, Try again is no longer available and a Contact BitTitan Support link appears on the row. A message at the top of the page says "Report generation failed again." or "Preparing this file failed again." and links to the article How do I get support for MigrationWiz?
  3. Contact BitTitan Support as described in that article. Include the project name and workgroup name and the report type.

Frequently asked questions (FAQs)

I used to receive these reports by email. Can I still get them by email?

No. Email delivery of reports has been discontinued. Request reports in MigrationWiz and download them from the Reports page.

How long does a report take to generate?

Usually a few minutes. However, large projects can take longer. You do not need to stay on the page to generate the report. Check on the reports page periodically to review the status of your report. MigrationWiz does not send notifications for report generation status.

Why can't I see a report my colleague requested?

You are only able to see reports for workgroups you are an active member of, and the workgroup has project sharing enabled. If you are unable to see the report for your workgroup, check the following:

  • You are an active member of the workgroup.
  • Project sharing has been enabled for that workgroup. For more information, review Project Sharing in MigrationWiz.

My report shows "Purged". What happened?

Source reports are kept for 14 days. Request a new report to get up-to-date data. A purged report disappears from the list 30 days after it was purged. You can also delete entries for purged reports manually in the reports page by clicking on the Delete button.

Delete purged reports.png

My PDF is hard to read. What can I do?

Choose fewer columns (each column represents a different field of information, you can include up to 10 columns in your PDF report), or download the CSV, which has every column.

Some items are missing from my file with filtered items.

Check that each line exactly matches the item name described under the box (source, destination or either, depending on your project), as it appears in the report's CSV. Entries that don't match are skipped. Review the Selecting items (Project Statistics) section for the correct steps on how to select/filter items.

Where did my file go after I clicked Download?

Check your browser's downloads list. Most browsers save to the Downloads folder unless they're set to ask where to save.
